Why you should read them. Please read these terms carefully before you submit your order to us. These terms tell you who we are, how we will provide products and services to you, how you and we may change or end the contract, what to do if there is a problem and other important information.

Payment Terms: Payment for the event must be made in full at the time of online ticketing.

Refund Policy: Unfortunately we are unable to provide any refunds for South Downs Awakening.  This includes cancellation of the event because of force majeure. In the event that you no longer need your ticket, consider giving it to someone else. You can let us know that you do not plan to attend by emailing info@southdownsawakening.com. It would greatly assist us with our planning to know if you or others in your party are unable to join us.

Force Majeure: This event will take place irrespective of inclement weather; however for safety or logistical reasons we may alter any part of the event in view of conditions on the day, including cancelling any part of the event. If we are hindered or prevented by circumstances not reasonably foreseeable, or beyond our control (such as force majeure, civil war, riot, epidemic, health emergency, environmental disaster etc.) from performing any or all of our duties in this event, then we shall be relieved of all liability, financial or otherwise, in respect of failure to perform such duties.

Restrictions: In circumstances deemed reasonable (for example, due to concerns regarding health and safety, security, drugs and alcohol misuse or environmental concerns) we reserve the right to restrict entry to any area being occupied by Walking the Land or Gathering as One at any time. No refunds will be offered to delegates who are refused entry or who are ejected in these circumstances. Misuse of drugs and alcohol will not be tolerated during South Downs Awakening.

What you need to be able to do to participate: This event requires participants to be capable of maintaining an average walking speed of 2 miles per hour throughout the day of 10-15 miles walking during Walking the Land, and walking approximately 3-4 miles for the Gathering As One. Please consider this when registering children or people with limited mobility for the walk.

If you or any other people included in this application have a medical condition, which may affect you during the course of the event and of which – for your own safety – we should be aware, please provide details to us in writing, stating the name and brief details of the condition at the time of booking. Such details are held in strict confidence and are used purely for this event. You agree to abide by the instructions of the South Downs Awakening team and all team who are working on behalf of South Downs Awakening, including but not limited to coach drivers, first aiders and food servers.

Disabled Attendees: We take the needs of customers who are disabled or who have other access requirements very seriously and actively encourage people of all abilities to attend the Event as far as you are able. If you are participating in Walking the Land, it is your responsibility to view the South Downs National Park website to ascertain which sections have appropriate disabled access options. During Gathering As One, we will provide disabled parking and a mobility van for blue badge holders only to provide people access to near the event site. Please note there will still be approximately 300m each way to travel from the mobility van to the event site across mildly uneven terrain. Disabled toilets will be available here, as well as at the campsite for the Friday evening.

Dogs: You should not bring dogs with you to Gathering as One except working guide or hearing dogs. You will be required to provide relevant certification.  If you plan to bring dogs to Walking the Land please be aware that the coaches provided only have limited capacity to transport dogs, and priority will be given to assistance dogs.  If you plan to bring a dog please contact info@southdownsawakening.org.uk to let us know.

Under 18s: All people under 18 must be accompanied by an adult (over 18) who is solely responsible for them for their duration of the event. Church Groups are the responsibility of their leaders. Church groups of children or teenagers without their parents are advised that there should be one adult (21 years or over) for every five children attending if all are the same gender. For groups of mixed gender, there should be at least two adults with a maximum of eight children to two adults.

Safeguarding: There will be official photographers during the event. Unless we have been advised and specifically requested not to include anyone, attendees may feature in these images, which will be used for our website, magazine and on social media channels.

Food Allergies:  We take food allergies seriously.  If you have any food allergies or intolerances, you must inform us at time of order. We will supply you with details from our food vendor Chichester Hog Squad (www.chichesterhogsquad.co.uk) and it is your responsibility to identify if you may be affected.  We regret we cannot provide alternative or allergy free options or an allergen free environment at this event.

Please be aware that products may contain nut shells. We request that you liaise directly with all those providing food at any point to find out the exact details of what is included in the food to avoid a health problem.

Personal Property: South Downs Awakening and Revival Projects cannot accept responsibility for loss or damage to your vehicle, personal belongings, equipment or for illness or injury unless directly attributable to our negligence. We therefore recommend that you seek insurance that covers personal accident, illness and loss of possessions.

Our responsibility for loss or damage suffered by you if you are a consumer:  We are responsible to you for foreseeable loss and damage caused by us failing to use reasonable care and skill but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if either it is obvious that it will happen or if, at the time the contract was made, both we and you knew it might happen, for example, if you discussed it with us during the sales process.  We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; for fraud or fraudulent misrepresentation; for breach of your legal rights in relation to any products (specifically the food provided as a part of your Ticket price at Gathering as One).  We are not responsible for damage to your property.

Coaches:   If you use coach or other transport provided by us you should be aware that the driver is the sole judge as to whether and to what extent passengers’ property is carried. Large items may not be able to be carried.  Please notify us in advance of all such requirements so we can do our best to make suitable, arrangements. Coaches are subject to the current Public Service Vehicle (Lost Property) Regulations. We can provide details of this legislation on request.  The driver is responsible for the safety of the vehicle at all times, and as such may remove any passenger whose behaviour prejudices safety or is in breach of the Public Service Vehicle (Conduct of Drivers, Inspectors, Conductors and Passengers) Regulations 1990. These regulations set out certain rights and responsibilities on all parties, and full details of these can be obtained from us on request.

Please note that strictly no disposable BBQs or rogue bonfires are allowed on the site for the duration of the event. BBQs with legs and covers (suspended off the ground) are permitted. We ask all attendees to exercise caution when using camping stoves to limit the risk of fires.
